Delegations to Board Meetings

The Board considers delegations for topics that are on their agenda for discussion and reserves the right to refuse a request for delegation appearance.

To appear before the VPL Board:

  1. Send a request to the Board's Executive Assistant at chrysalyn.tolentino@vpl.ca by noon a week before the scheduled meeting. In the request, tell us the subject matter you would like to speak on.
  2. We will notify you in advance of the date, time and place of the meeting.
  3. Your delegation appearance and the subject you are speaking on will be included on the meeting agenda. You will be limited to a maximum time of five minutes to make a presentation unless otherwise determined by the Board chair.

Late Delegations

You can request to appear before the Board as a late delegation if you or your organization's interests are affected by an item on the Board agenda and because of circumstances, could not give earlier notice.

To appear before the Board as a late delegation:

  1. Send a written request to the Executive Assistant by noon the day before the Board meeting.
  2. In the request, you must indicate the subject matter you want to speak on and explain why the Board should consider this late delegation.
  3. The Executive Assistant will inform the Board chair of the request and circulate the written request to Library Board Trustees on table at the Board meetings.
  4. The Board chair will determine if the delegation will be heard at the Board meeting.
